GUIDELINES FOR SWAPPING
We are updating our "Guidelines For Swapping" which apply to all swaps at Scrapbooking Fun. Please read thoroughly:
***No other members are allowed to host swaps on Scrapbooking Fun***
New Swappers: Please start out slow and only sign up for a total of one swap/one spot. When that swap closes the hostess will contact you with the Final Details(FD's) of that swap and then you may start working on the one spot you signed up for. After the hostess receives and reviews your items, you can ask her if it's alright to sign up for another swap. She may answer you or direct you to Melody or Helen.
If you complete a successful swap, you may then sign up for a maximum of one swap spot per hostess. If those swaps were completed successfully, you're on your way to becoming a fantastic swapper.
Thanks and happy swapping!
Most members do follow through and get their swap items to the hostess by the due date. The due date is the date your hostess should receive your swap items, not the date you ship your items to the hostess. Hostess take time away from their own life's to host these fantastic swaps, so keeping to the due dates are very important! Sundays and Holidays do count as a day, so please plan and ship accordingly so you'll make the due date.
#1. First and foremost please read the Final Details sent to you for each & every swap you are in. Each swap will vary according to the type it is, what it is for & which hostess is running it. It is highly suggested that you print out the FD's & follow them as you work on your swaps. Also, mark the due dates on your calendar!!
#2. Do not BUY or MAKE your swap items until you have received the "Final Detail's"(FD'S) from a hostess. The FD's will be emailed to you after a swap has filled/closed. You must read and reply to your hostess, that you received/understand the FD's or ask questions if you don't understand the FD's. The FD's can vary, so you must read the FD's every time you join a swap.
#3. If a swap is received & it does not follow the FD's it will be returned to you, without you participating. If there is enough time for you to remake(correctly) and resend your items, you will be included in the swap. If there is not enough time for you to remake your items you will be marked as late. It is unfair to those who order the correct papers & make their items correctly to receive back incorrectly made items.
#4. It is expected that all swap packages will be received by the due date. If you mail last minute(not past the due date), it is highly suggested you use priority mail AND get a delivery confirmation number.
If your package is not received by the DUE DATE - We will no longer hold a swap unless a valid delivery confirmation number is given and the hostess will only wait up to 5 days past the due date. If your package is received anytime past the posted original due date you will be marked as late. If your package is 5 days past the original due date it will be returned to you and possibly prohibited.
#5. PROHIBITED:
Member who are five times late by the "posted original due date" per year will be prohibited. We all get the same amount of time to make our items, so if you don't think you can make the due date then don't sign up.
Members packages that are past the "original posted due date" and are not communicating will be prohibited.
Members who do not respond to emails or PM's after 3 attempts will be prohibited. When signing up for a swap, if you are having difficulties fulfilling your obligations........it is your responsibility to inform the hostess.
Remember we will work with you if communication is kept up - everyone has an emergency once in a while. But it is YOUR RESPONSIBILITY to let the hostess know what is going on ASAP.
#6. ANGELS:
Angels will need to follow the same FD's, provided by the hostess. Before signing up to be an Angel ask your hostess if you can just use the listed Bazzill cardstock, if you're unable to find the pattern paper line locally. The answer could be no, but it's worth a try.
Angel extension: Angels are willing to help us keep a full swap and they will be allowed an extra 8 days after the posted original due date. No angels will be accepted after the posted original due date.
Angels should not be used because you forgot you signed up for a swap and now you're to busy to make your items or you didn't order your supplies in time.
If you are having difficulties let us know ASAP and post you are in need of an "Angel".
If no Angel can be found for your spots, you'll be marked as late.
#7. HOSTESS:
Hostess will need to follow the same rules, when joining a swap.
Sometimes due to late swappers, it just doesn't work out returning swappers packages ASAP. When shipping out your hosted swaps, please don't take more then 7 days after receiving the last swappers package. Hostess who have previous commitments and can not ship back the swappers item within the 7 days limit, please understand we are not intentionally holding your item, but that we have previous commitments and can not make it to the post office.
Hostess who are repeatedly late swapping or swapping out packages will be up for review.
#8. A New Year:
Every New Year's Eve your 5 days late slate will be wiped clean.
#9. Shipping:
Shipping is a very important part of your swap too. We request things be done a certain way, if everything is labeled & done correctly it makes it easier for a hostess to swap out items and packages.
Non-Smoke Free Homes: To reduce the smell of the smoke please include a fabric softener sheet inside each ziplock containing your scrapbooking items and also include one inside your package.
Place your swap items into individual baggies(PER PERSON/SWAPPER) and label each baggie with YOUR NAME, MB NAME, SWAP NAME, ITEM MADE and GROUP NUMBER. Please make sure ALL OF THIS information is on or in all your baggies. Place all of your baggies into a larger bag and label that bag with YOUR NAME, MB NAME and YOUR ADDRESS. This way, if your package is somehow damaged in transit, your bag will be returned to you because you have your address on it. Never wrap your items in saran wrap or self sealing wrap for shipping. If you're in a multiple swap group, follow the above per group.....keeping all groups separated. When a hostess offers multiple groups, it is very important to follow the bagging directions!
DO NOT attach stamps to the return envelope. In a small baggie marked with your name and member name: Include the same amount of stamps as it took to deliver PLUS 4-5 extras. We will return any unused postage. Also if your original package will be re-used, you will need to send a self adhesive address label large enough to cover the address spot. Packages that are too small to return your completed swap, will be put on hold until you ship your hostess a package that is large enough to hold all your items. Most swap envelopes should be 8.5" x 11" and padded(#2). Sometimes a larger padded envelope will be required for the safe return of a completed swap. If you're shipping multiple swaps or groups together, then a box is recommended.
NO METER POSTAGE!
If you send stamps that are not current & do not show the postage amount on them you must include a note explaining which stamps are worth what amounts.
#10. All participants in any swaps has the right to say they do not want to wait for late swappers and they'll just receive another of their own items.
#11. We will add information & guidelines as needed.
If you have any questions or concerns please contact your hostess.
